VerifyForce ("we", "us") provides verification, screening, and compliance administration services in South Africa. Because our work involves personal information by its very nature, we hold ourselves to a high standard of data protection. This policy explains how we collect, use, and safeguard personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA), the National Credit Act 34 of 2005 (NCA), and the Financial Intelligence Centre Act 38 of 2001 (FICA).
1. Information we collect
- Enquiry information — name, email address, phone number, and the details you submit through our contact form or WhatsApp.
- Verification subject information — where a client engages us to perform a verification, we process the subject's personal information (identity, credit, criminal record, qualifications, employment, or property data) strictly on the basis of the subject's explicit written consent and only to the extent required for the agreed service.
- Technical information — essential cookies required for the site to function and, where you consent, anonymised analytics data.
2. How we use personal information
- To respond to enquiries and deliver the services you have engaged us for.
- To conduct verification checks through accredited South African data bureaux, with the written consent of the data subject as required by the NCA and POPIA.
- To meet our record-keeping obligations under applicable legislation.
We do not sell personal information, and we do not use verification data for any purpose other than the engagement it was collected for.
3. Consent for verification checks
No credit bureau enquiry, criminal record check, or other verification is performed without the explicit, written, and informed consent of the person being verified. Consent records are retained together with the verification file.
4. Sharing of information
Verification results are shared only with the client who commissioned the check and who holds a lawful basis for receiving them. We use accredited third-party data bureaux to perform checks; these providers are bound by their own regulatory and contractual confidentiality obligations.
5. Retention
We retain personal information only for as long as required to deliver the service and to comply with statutory retention periods, after which it is securely deleted or de-identified.
6. Security
We apply appropriate technical and organisational measures to protect personal information against loss, unauthorised access, and unlawful processing.
7. Your rights under POPIA
You have the right to request access to, correction of, or deletion of your personal information, and to object to its processing. You may also lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.
